How Does The New Payroll Cutoff Date Work?

We use cutoff dates to finalize any adjustments in a given month’s payroll – this helps ensure the correct amount is processed. Starting in November 2024, our payroll cutoff date is moving to the 10th every month (23:59 PM, PST). This gives you extra time to submit and approve any changes in payroll, including:

  • Changes to base salary
  • Paid and unpaid time off
  • Adding bonuses or commission
  • Submitting changes in salary and employment terms
  • Approving new expenses for your team

After our cut-off date, payroll processing begins on the 11th. An invoice breakdown will be available by the 11th of each month. You can also request an out of cycle payroll request from your dedicated Customer Success Manager. Take note that this does cost an additional fee to process manual changes.

With this change, we want to make monthly payroll more flexible and stress-free, and cause less delays in seeing your payroll changes take effect – and, of course, make your employees happier along the way!

What Does This Mean For Me? 

We’re thrilled to offer you a little extra breathing room with our extended payroll cut-off dates. This added time allows you to fine-tune payroll inputs – whether it's bonuses, expenses, or other last-minute changes – without the rush. Our goal is to ease the pressure of payroll management, making sure everything runs smoothly and your employees are paid accurately. It’s all about creating a better payroll experience for you and your team.

Monthly Payroll Cut-Off Date Gets Extended

The payroll cutoff date at Playroll is getting extended from the 5th to the 10th every month! This provides employers with more flexibility to ensure timely payments when running payroll. Here’s what the change means for you.

Why it's Good for Our Users

The Referral Program offers significant benefits to our clients. By participating, users can earn a $300 voucher for every successful referral. This initiative not only provides a financial incentive but also helps users share the benefits of Playroll with their network, enhancing their overall experience and satisfaction.

How to Use It

Using the Referral Program is straightforward:

  1. Navigate to the bottom left of the navigation panel and click the “Referral Program” button.
  2. Fill in the referral form with the required details, such as the referral's contact information.
  3. Once the referral becomes a paying customer—meaning they have an employee and at least one month of payroll has been processed—you’ll receive a $300 voucher.
  4. After submission, you’ll see a thank you window and can review the terms and conditions of the program.

So, Who Can Make a Referral?

All users of Playroll’s Platform are welcome to make a referral!

What Do I Have to Do?

All you have to do is refer a new client to Playroll by completing the form.

What is a New Client?

A new client is a company that Playroll hasn’t yet had contact with. This referral program is not intended for referring employees to Playroll.

Do I Get Anything for the Referral?

Absolutely! For each referral you make, you will be entitled to a voucher to the value of $300. The type of voucher you receive will depend on the jurisdiction you are in. Each time you make a successful referral, you are entitled to another voucher.

What is a Successful Referral?

A successful referral is one where the company that you have referred signs an agreement with Playroll, onboards its first employee, and pays that employee its first salary. Once the first salary is paid to that employee, you will receive your voucher. You will be entitled to one voucher for each successful referral, irrespective of how many employees are employed by that client through Playroll.

Examples of Use Cases

  • Client A has a friend who runs a small business and could benefit from Playroll’s services. They refer their friend through the program, and once the friend’s business becomes a paying customer, Client A receives a $300 voucher.
  • Client B is part of a professional network where members frequently look for reliable payroll services. They share the referral link with their network, leading to multiple successful referrals and vouchers.

FAQs

Q: Who can participate in the Referral Program?

A: All Playroll users can participate, except for Reseller child companies.

Q: When will I receive my $300 voucher?

A: You will receive the voucher once your referral becomes a paying customer, defined as having an employee and at least one month of payroll processed.

Q: What information do I need to provide?

A: You need to provide detailed contact information for the referral, such as an email address or phone number.

Terms and conditions

Playroll reserves the right to reject any referral, and the determination of whether a referral is successful or not is at Playroll’s discretion. Such ineligibility may include, but not be limited to, instances where such referral relates to a prospective client that has already contracted with Playroll or is already in material discussions with Playroll. Playroll reserves the right to make reasonable changes to these terms. Neither Party shall be deemed to be an agent of the other.

Transparency For Visa Management 

Employers can now manage most tasks related to visa sponsorship on the employer portal, and get updates on where employees are in the application process at a glance:

  • Get visibility on where we offer visa services and what the associated fees are (if any) here via the employer portal.

  • When adding new employees, easily indicate whether an employee requires visa support from Playroll.

  • Similarly, employees can indicate whether they require visa support and view their application on the employee portal.
  • The visa statuses of employees and all pending visa applications are now visible on the employer portal. Here, you can also make changes to the details of an employee’s application. Employers and employees will also receive updates whenever there is a change in the status of open applications.

All Your Essential Employment Documents, In One Place

This update centralizes all your key employment documentation, making it easier to manage documents related to all your employees.

We’ve also introduced new controls for the various document types associated with your employees. 

These controls allows for:

  • Playroll to require necessary signatures from both employees and counter signatories.
  • Ensure all approvals are seamlessly obtained where required.
  • Provide improved visibility settings to employers, so you have full control over who can access specific documents.
  • Improved access to employment-related documentation, offering clear visibility into each stage of the processing workflow.

All uploaded documents are available on the employer portal under the "Employee -> Documents" tab, where you can also filter for specific employees. Additionally, employees can access these documents via their own portal under the "Documents" tab.

What exactly goes into your employee costs? This is a crucial question for employers to answer for accurate financial reporting. Playroll’s product team is happy to announce that employers are now able to download more detailed breakdowns of deposit calculations for their invoices. 

What Are Deposit Breakdown Reports?

It’s a new feature we’ve rolled out on the Playroll platform that provides a detailed breakdown of deposit calculations, including:

  • Gross salary
  • Allowances
  • Employer contributions
  • Currency conversion details

Employers can export these reports for each deposit invoice they pay when adding an employee to the platform. 

Why We Built It

With this update, we want to improve transparency around deposit calculations, so there are no surprises when it comes to your employee costs.

Where To Access Your Deposit Breakdown

Users can access the deposit breakdown from the customer portal’s Payment History page. Navigate to the Deposits tab – on the right, you can download your report as an Excel sheet. Simple as that!

Will I be able to share these reports with other users?

Absolutely! Admin Users can share these with Billing Contacts that aren’t platform users and may require this breakdown.

  • Simonetta: "Used to be a pre-work workout, now it’s playtime with my baby girl. During the day, I make an effort to keep going back to my key objectives."
  • Jackie: "Energy Is Currency. My morning rituals are key to my mental and physical stimulation through the day, so I make sure to save some time for meditation, breath-work and some movement to help ground me for each day. I also love music - I play music all day - it drives energy through my day."

Utilize our app's team feature to group employees into distinct teams. These can be based on project, department, or any other internal structuring.

Territories Covered: Options include various global regions such as South Africa, United Kingdom, France, etc., allowing for geographical financial management.

Why This Matters: This feature is a direct response to multiple client requests for more granular control over invoice management. 

Why the popularity? Because it simplifies data segmentation and departmental budget reporting, making life easier for companies that operate across diverse teams or territories.

Accessing the Simplified Invoicing Feature

So, how can you start reaping the benefits of this innovative feature? Here’s a quick guide:

1. Request Access: The billing contact needs to request access through their Customer Success Manager (CSM).

2. Receive and Manage Invoices: Once access is granted, multiple invoices per team or territory will be emailed monthly to the billing contacts.

3. Download and Organize: Access these invoices easily by clicking the three dots on the right side of the row in the app and downloading a consolidated file.

This is where you will see an example of how the invoices are displayed in the app, providing a clear, user-friendly interface for your financial management needs.

Introducing Time Off And Attendance Management Improvements For Employees And Employers Alike

With Playroll's new updates, employees and employers can gain visibility in their leave allotments. Previously, Playroll didn't provide employees the ability request leave when their balance was negative. We realize this didn't give flexibility needed. As a result, we launched these updates to account for the full complexity of time off requests.

Now, you're able to:

  • Backdate leave that was taken in the past
  • Apply for leave even with a negative balance
  • View the breakdown of your accrued leave (see image below)
  • Get territory-specific entitled starting balances (pro rata)

Is it time to schedule your 2024 holidays yet? Playroll’s product team is happy to announce its upgraded Leave Management system to help everyone plan smarter for the rest of the year! 

What has changed?

  • Leave can now be backdated: Employees can apply for leave that was taken in the past, and rest assured that our algorithm knows which period this leave applies. 
  • No restrictions on leave applications: Playroll’s system will no longer prevent any leave applications from being made based on the employee’s existing leave balance. Prior to this update, employees were not able to go into a negative leave balance. In the new system, the decision to approve or decline the leave is now entirely up to their manager. Please note that if an employee goes into negative balance, we will always carry this balance forward, where the employee’s continuous leave accrual will make up for the deficit. 
  • Accuracy: To keep track of every employee’s leave balance in over 180 territories, we’ve needed to develop a custom algorithm with perfect accuracy - which now we have. With improved accuracy, you can now rely on Playroll’s Leave Management System! 
  • Starting Balances: Employees can now have starting balances greater than zero, where necessary.
  • Greater transparency with more granular information: The screenshot below is an example of what Playroll employees and their managers will see when reviewing leave balances.

Annual Leave Page View On Playroll

Your accrued leave balances can be found on the employee dashboard under My leave.

Annual Leave Key

  1. Annual Entitlement: How many days of leave the employee is entitled to per leave period. Leave periods are the time span over which leave is provided for a single year. Periods have different starting dates from one territory to the next. The two most common are from January 1st - December 31st, and from the employees start date to one year into the future.
  2. Carried Over Leave: The amount of leave that has been carried over from the previous leave period to the current leave period.
  3. Deducted Leave: The amount of leave that has been deducted from the employee’s leave balance for the current year (previous deductions are accounted for in “Carried Over Leave”). Deducted Leave includes all approved and pending leave, and excludes all declined and cancelled applications. 
  4. Leave To Date: The live running balance of leave on the employees’ account is now visible and increases daily as the employee accrues time off. This value is what will be used to calculate leave payout upon termination. 
  5. Leave Balance: The amount of leave the employee has for the current leave period. Leave Balance = Leave Entitlement + Carried Over Leave - Deducted Leave. Important to note: we include the employee’s entitlement in this balance. Thus, if an employee begins employment on January 1st 2024 with an entitlement of 20 days, their balance will be 20 days. 

How Employees Can View Their Annual Leave

The “My Leave” page, as always, provides the employee’s entitlement, pending leave, and current leave balance. However, employees can now see a detailed calculation of their leave by clicking on “Details”, as demonstrated in the video.

How Employers Can View Their Team's Leave Details

Employers will still see leave applications on the portal under Leave → Requests. However, now they will be able to see a more detailed breakdown of the employees' balance when reviewing applications by clicking on “See Details”.
